Sharing with access control
Your knowledge bases, folders and custom assistants are private by default — and each can be shared deliberately.
How? Open the access section in the item's settings and decide who can reach it, and at what level:
- Read: your colleague can use it (ask the knowledge base questions, say) but can't change anything.
- Edit: they can update the content too — right for co-owning a shared source.
Common patterns:
- One person maintains the unit's policies (edit) while everyone else just asks (read).
- The brand guide and sample copy — plus a custom assistant built on them — shared with all the writers.
- A project's folder, with its own instructions and knowledge, shared among the people on that project.
A security note: sharing is always the owner's decision; nothing becomes public by itself. Before sharing sensitive documents, review the data-protection principles.
